The six things to test in a demo

  1. Repair order numbering and search. Can you find a two-year-old RO by VIN, by plate, by part number? That is the warranty conversation, and it is the thing the RO template is a paper stand-in for.
  2. Parts matrix. Does it hold a full sliding matrix and apply it at estimate time? A platform that takes one flat markup will not hold your 55–58% gross profit on parts target — build yours on the matrix calculator and see if it fits.
  3. Effective labor rate reporting. Can it report labor sales over billed hours without an export? If not, you will not track the within 5–10% of the posted door rate gap, and nobody tracks what needs a spreadsheet.
  4. Technician hours. Does it capture worked hours as well as billed, so productivity against 80–90% is measurable? Many capture only billed.
  5. Digital inspection. Photos, measurements and a customer-facing result — the electronic version of the multi-point sheet.
  6. Getting out. Export your customers, vehicles, ROs and history to a real file, before you sign. Ask to see the export run.

On pricing

All of these quote by shop size, seat count and module, which is why no honest table can print one number per row. Get quotes from your two shortlisted platforms on the same shop profile, and put the monthly figure into fixed cost on the rate worksheet — software is overhead, and overhead is carried by the door rate.

What about free

There are free and open-source options, and they are real for a one-bay shop starting out. What “free” means differs sharply between them — that is its own comparison: free auto repair shop software.
